Headquartered in Toronto, Canada, LANDinc has joined forces with Singapore-based STX Landscape Architects to expand our global footprint. As part of this growth, we are opening a new office in Manila, Philippines, to support our expanding international operations.

We are seeking an experienced, highly organized, and proactive Executive Assistant (EA) to support, virtually, senior-level leaders based in Singapore and Toronto. This role is critical to ensuring organizational effectiveness, operational efficiency, and seamless coordination across our global design studio.

Position Overview
The Executive Assistant (EA) manages, virtually, complex priorities, anticipates leadership needs, and exercises sound judgment while handling sensitive matters. Acting as a trusted advisor and gatekeeper, this role ensures senior leaders are focused on high-impact initiatives, strategic growth, and client-facing priorities.

The role encourages the use of AI-powered tools to support content development, organization, and efficiency, and values individuals who are curious, adaptable, and eager to learn new technologies as part of their professional growth.

This is a full-time, onsite position based at LANDinc’s upcoming office in the Greater Manila Area, Philippine

Two work shifts are available:
  • Day Shift: 9:00 AM – 6:00 PM (Singapore Time)
  • Night Shift: 9:00 PM – 6:00 AM (Toronto / Canada Time) - Employees assigned to the Night Shift will receive a 10% salary premium
Working hours will primarily align with the selected shift, with flexibility required to coordinate occasionally with international teams.
 

What You Will Be Doing

Executive Partnership & Strategic Support
  • Act as a trusted extension of senior leadership, providing informed, proactive online support aligned with business priorities
  • Anticipate needs, identify risks, and recommend solutions to enhance executive effectiveness
Advanced Calendar & Communication Management
  • Own complex executive calendars across time zones, strategically prioritizing meetings and commitments
  • Manage executive inboxes and correspondence, responding or drafting communications on behalf of leadership
Global Travel & Logistics
  • Plan and manage detailed domestic and international travel, ensuring efficiency, contingency planning, and executive readiness
Meetings, Governance & Follow-Through
  • Prepare high-level briefing materials, agendas, and presentations
  • Coordinate executive meetings, record key decisions, and drive follow-up on action items
  • Support leadership meetings, board-related activities, and confidential discussions
Confidentiality & Judgment
  • Handle highly sensitive information with absolute discretion, professionalism, and integrity
  • Exercise sound judgment in decision-making, access control, and prioritization
Office & Team Support
  • Oversee daily office operations, supplies, and equipment
  • Liaise with vendors, service providers, and building management
  • Foster strong working relationships across global teams
Financial & Project Coordination
  • Assist with budget preparation, expense tracking, and reporting
  • Support invoice processing, receipts, and reimbursements
  • Gather and analyze data to support executive decision-making
  • Assist with fundraising reports and ad hoc executive requests

What You Bring Along

  • University degree in Business Administration or a related field preferred
  • Minimum 5 years of experience in executive or senior administrative support
  • Experience in architecture, design, or professional services environments is an asset
  • Professional proficiency in spoken and written English
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Strong understanding of office operations and procurement
  • Ability to handle confidential information with professionalism and sound judgment
  • Ability to travel to Singapore on company expense
  • Self-motivated, detail-oriented, and adaptable to changing business needs
  • High level of discretion and integrity
  • Strong proactive mindset with the ability to anticipate needs
  • Exceptional organizational and time-management skills
